A GUIDE TO IMPORTING YOUR INVENTORY
Your collection is already in Excel. Give it a new home.
Keep the work you have already done. Bring your spreadsheet to Tradix, map its columns to your collection fields and review the result before importing.
Free .xlsx file, no registration needed. Includes three example rows you can replace.
| Name | Quantity | Country | Year |
|---|---|---|---|
| Example coin A | 2 | Spain | 2002 |
| Example coin B | 1 | France | 2004 |
| Example coin C | 0 | Italy | 2006 |
You decide which field each column maps to.
Choose the sheet, headers and orientation.
FROM SPREADSHEET TO COLLECTION
Review your import before saving.
The template is a starting point. You can also use your existing file, even if its columns or their order are different.
Create my accountPrepare a copy of your file
Work on a copy. Use one row or column per item, identify the headers and avoid merged cells within your data. Replace or remove the three example rows if you download the template.
Open Import and select your file
Sign in to Tradix and open Import at the bottom of the sidebar. Select an Excel or CSV file. The Demo account lets you explore the app but cannot import files.
Choose the sheet and orientation
Select the workbook tab containing your collection. Specify whether items are arranged in rows or columns and where the headers are.
Map your columns to fields
Map the name, quantity and purchase price. Turn other details into custom fields with the appropriate types, or skip columns you do not need. Import into an existing collection or create a new one.
Check the preview and import
Check names, quantities, field types and how duplicates will be handled. Imports respect your plan limits. Review the result before publishing your collection.
DETAILS WORTH CHECKING
The spreadsheet brings your data. Add photos afterwards.
Images embedded in Excel do not become item photos. Import the data first, then add images from each item’s record.
To move a collection already in Tradix, use a Tradix export with images and its ZIP file. That format also preserves the structure and relationships.
Before confirming
- The name identifies each item.
- Quantity records how many you own; zero is also a valid value.
- Purchase price means what you paid per item, rather than a coin’s face value.
- Numbers, dates and new columns have the correct types.
- Your collection has enough capacity for the items you are adding.

A few common questions
Do I have to copy my data into your template?
No. Use your own Excel or CSV file and map its columns during import. The template is simply an example of how to organize your data.
What if I have one item per column?
The importer lets you change the orientation. Choose items in columns and review the preview before confirming.
Are Excel formulas imported?
Tradix uses the values in your sheet; it does not retain formulas or links to Excel. Check the results and save the workbook from Excel before importing.
Can I try the template on the Free plan?
Yes, within the plan limits. Create your own free account to import; the shared Demo account does not allow imports.
