EVERY PATCH HAS A STORY

Your patch collection. Much more than a design.

Theme, country, technique and backing help distinguish your patches. Create one record per variant and separately track what you own, want and offer.

Choose how to start: directly in Tradix or with a free Excel file you can import later.

Fictional designs and illustrative images generated for this guide. The Excel file contains data, not photographs.

A SYSTEM YOU CAN KEEP USING

One record per variant. Track quantities separately.

Use a recognisable name and a stable reference. For identical pieces, record the number under Quantity; if an important characteristic changes, create another record.

Start directly in Tradix

Open a collection with its fields prepared. Review the name and fields, create the collection and add your pieces. You can also import your Excel file into that same collection.

Organise in Excel first

Download the sheet without signing up. Replace the three examples with your own pieces, keep one row per reference and import it when you are ready to continue in Tradix.

YOUR CRITERIA, ALL IN ONE PLACE

A template to start. Your fields to continue.

Separate the variants you want to identify individually: embroidered or woven, sewn or hook-and-loop, a different unit or edition. Group multiple collections under Patches without mixing their record layouts.

What you can record

Unit or theme and country
Classify military, travel or association patches using a system that fits your collection.
Technique and attachment
Distinguish embroidered, woven or PVC patches and record whether they are sewn on or use hook-and-loop.
Origin and storage location
Add where you obtained it and where you keep it, keeping those details private if you prefer.

THREE EXAMPLES TO UNDERSTAND THE SHEET

Owned, wanted and for trade mean different things.

Quantity is what you already own. Wanted quantity is how many you want to acquire. For trade uses 1 to offer an item and 0 not to offer it.

Purchase price is the amount paid per unit in euros. Leave it blank if unknown; zero means you paid nothing.

FROM EXCEL TO YOUR COLLECTION

Prepare your data. Review before saving.

The file has one sheet, one header row and three fictional examples. Replace or remove them and add your own items.

Download Excel template
  1. Keep a copy of the original

Save a copy before editing. Keep the headers in the first row, replace the examples and avoid merging cells within the data.

  2. Map columns when importing

Select the file under Import. If you have already created the collection, choose it as the destination; you can also create a new one. Before confirming, check the sheet, one row per item, headers in row 1 and the column mapping.

  3. Choose what you want to share

New imported collections start private. Review which fields will be public and add photographs to the records before sharing.

FROM FILE TO FIELD

How your data reaches Tradix.

The sheet uses columns the importer recognises. Always check the preview: you can change a column’s destination or add custom fields before saving.

Quantity and Wanted units are whole numbers from zero upwards. For trade uses 1 or 0. Keep a reference such as 00123 as text so its leading zeros are preserved.

Before you start

A few common questions

Can I start without using Excel?

Yes. The button to start in Tradix opens a collection with prepared fields and no sample items. Sign in or create your account, then adapt the fields and save the collection.

Can I use the template without an account?

Yes. Download it and use it in Excel without signing up. To import it into Tradix, you need your own account and available capacity in your plan.

Does the template include images or a complete catalogue?

No. It includes three fictional examples to show how to organize the data. You add your own items; photographs are added later in Tradix.

Will trade lists be created automatically?

No. The sheet stores quantities and wanted and trade flags. Lists are created from your account and require a plan that includes them.
